Invoyce (“we,” “our,” or “us”) respects your privacy and is committed to protecting the personal information you share with us. This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

Profile & Account Data

When you create an account, we collect:

  • Name, email address, and password

  • Business name, type, and industry

  • Address and contact details

  • Stripe customer and account IDs (for payments and payouts)

  • Subscription plan and billing details

  • Profile photo or logo (if uploaded)

 

AI Chat & Automation Data

When you use Invoyce’s AI features, certain information may be securely transmitted to OpenAI (openai.com) for real-time processing in order to generate responses within the app.

This may include:

  • Chat messages — text you submit to the AI assistant for invoice creation, client management, and business insights.

  • Business context — client names, email addresses, service or product names, and pricing information necessary to generate relevant AI responses.

  • Invoice data — invoice line items, amounts, dates, and client details when you request AI assistance with invoice creation or edits.

  • Voice recordings — when using the voice-to-invoice feature, audio data is transmitted to OpenAI’s Whisper API for speech-to-text transcription.

Data is transmitted to OpenAI only when you actively use AI features and have provided explicit consent. No AI-related data is sent passively or in the background.

All API communications are encrypted using HTTPS/TLS.

According to OpenAI’s API data usage policy, API-submitted data is not used to train their models by default.

You may revoke your AI data processing consent at any time in Settings > Privacy & Data, which will disable AI functionality and stop further data transmission to OpenAI.

 

Client & CRM Data

You may add your own clients’ information, such as:

  • Name, company, phone, and email

  • Addresses and billing details

  • Notes, preferred contact method, and attachments

You control this data — we simply process and store it on your behalf to help you manage relationships and send invoices.


Invoice & Payment Data

We collect and store:

  • Invoice numbers, line items, amounts, and due dates

  • Payment status and Stripe transaction references

  • Attachments or notes related to invoices

Payment processing is handled by Stripe, and we never store full card or banking details.

 

Files & Uploads

You may upload files such as:

  • Client attachments, images, or logos

  • Invoice PDFs or supporting documents

All files are stored securely using encrypted storage through our cloud provider.

How We Share Information

We do not sell or rent your personal data.

We share limited information only with trusted service providers that help us operate Invoyce:

  • Stripe — payment processing and transfers


  • Supabase — secure data hosting and authentication services


  • OpenAI — AI-powered features including chat assistance, invoice generation, and voice transcription (processing only; API data is not used for model training). Your explicit consent is required before any data is shared with OpenAI.


  • QuickBooks (Intuit) — if you choose to connect your QuickBooks account, Invoyce may access limited accounting data (such as invoice and expense information) to enable synchronization between Invoyce and QuickBooks. This data is used solely to provide accounting integration features and can be disconnected at any time from within the app settings.


  • Email and analytics providers — transactional communications and app performance monitoring

Each service provider is contractually bound by confidentiality and data protection obligations and provides protections consistent with this policy.

Because Invoyce operates globally, your information may be processed or stored in countries outside your home country where our service providers or infrastructure are located. We implement appropriate safeguards to protect your information during these transfers.

AI and Automated Processing

Invoyce uses OpenAI’s API to power certain AI-driven features, including invoice creation, client management assistance, and business insights.

Before any personal data is shared with OpenAI, the app requests your explicit consent. You control the information submitted to AI features, and all AI-generated outputs are suggestions that should be reviewed before being sent or relied upon.

OpenAI processes data solely to generate responses and does not use API-submitted data to train its models. You may revoke your consent at any time in Settings > Privacy & Data, which will immediately disable AI features and stop further data transmission to OpenAI.

Data Retention and Deletion

We keep your data for as long as your account is active.
You can request deletion of your account or specific records (AI chats, clients, invoices, or files) at any time by contacting us at info@invoyce.ai.
Deleted data may remain in secure backups for a short period before permanent removal.

Security

We use SSL/TLS encryption, secure storage, and access controls to protect your data. No method of storage or transmission is 100% secure, but we continuously monitor and improve our safeguards.

Your Rights

Children’s Privacy

Invoyce is designed for adults managing legitimate businesses. We do not knowingly collect information from anyone under 18. Anyone between the ages of 13 and 18, must have a parent or legal guardian set up an account on their behalf.
